Adelaide Youth Conference Refund Policy

The Adelaide Christadelphian Youth Conference 2023 (AYC 2023) committee are committed to achieving our mission. This is to provide you (as a Youth Conference attendee) with an inspiring and spiritually uplifting week that will deepen your relationship with your Yahweh and his son, strengthen your faith and support your friendships.

There are significant costs associated with the Youth Conference, especially in relation to the accommodation and food expenses. The largest of these expenses needs to be confirmed and paid for in full six months prior to the commencement of the Conference. It is for this purpose that a refund policy is clearly outlined to you as an attendee.

In Summary:

  • Cancel before 30 November 2022 – a $50 fee applies (the attendees non-refundable deposit).
  • Cancel between 1 December 2022 and 1 February 2023 – 50% of the attendees conference fee is payable.
  • Cancel after 1 February 2023 – full conference fee is payable.

 

The details of our policy are as follows:

1. Deposit – The $50.00 deposit paid to secure an attendees booking is strictly non-refundable.

2. Cancellations Before Payment Due Date – To obtain the early bird discount, attendees must complete full payment by 30 October 2022. Payments after this date will not be eligible for the discount. All conference fees are due by 30 November 2022. Cancellations prior to that date, will be entitled to a full refund of any fees paid, minus the non-refundable deposit. Any attendees who do not provide payment by 30 November 2022, will be immediately transferred to the waiting list.

3. Cancellations After Payment Due Date – Once the due date for conference fees (30 November 2022) has passed, the following conditions apply:
(a) Cancellations up to and including 1 February 2023 – These cancellations will be subject to a fee equivalent to 50% of the applicable conference fee for that attendee.
(b) Cancellations after 1 February 2023 – These cancellations will not be entitled to a refund.

 

Notwithstanding the above, any attendee who cancels their position in the conference may make a submission to the committee to have the policy reviewed on personal, family, or financial hardship grounds.

 

Pandemic Policy:

In the event that a lockdown, health directive (e.g. requirement to quarantine) or border restriction prevents any attendee from being physically present at the Youth Conference, the following conditions will apply:

  • The attendee will be sent via express postage all clothing, merchandise, handouts and study aids prepared to be given to attendees during the Youth Conference.
  • The attendee will be given a full refund of all fees, except for a portion which covers the cost of the materials sent to the attendee. The exact amount required for the materials will be published one month prior to the Conference.
  • The attendee will be given live and exclusive access to all presentations delivered at the Youth Conference.
